Welcome to the St Helens Arts In Libraries Service!

When you join one of our workshops, clubs, events or projects, we sometimes need to collect a little information about you.

This notice explains:

• What information we collect
• Why we collect it
• How we keep it safe
• Who we share it with
• Your rights

What is personal information?

Personal information is information that tells us who you are.

This might include:

• Your name

• Your age

• Your email address

• Your phone number

• Your postcode

• Your parent or carer's contact details

• Medical information (only if we need it to help keep you safe)

Sometimes we don't need any personal information at all.

For example, if you complete one of our anonymous surveys, nobody knows which answers belong to you.

Why do we collect it?

We only collect information when we have a good reason.

We may use it to:

• Book you onto activities

• Send your tickets

• Contact you if something changes

• Keep you safe during activities

• Make sure everyone can take part

• Register Arts Awards

• Improve our events and activities

We only collect the information we need.

Do you ask my parent or carer?

If you're under 13, we'll usually ask your parent or carer before collecting your information or signing you up for something.

Sometimes they'll complete forms on your behalf.

Who can see my information?

Only people who need your information to help run an activity.

This could include:

• St Helens Borough Council Arts Service staff

• Eventbrite - Our ticketing platform app

• Trusted organisations helping us deliver activities

• Arts Award organisations, if you're taking part in an Arts Award

• Evaluation Questionnaires are anonymised, and information captured is sent directly to PriceWaterhouseCoopers (PWC) via a third-party platform called Illuminate

Everyone who handles your information must keep it safe.

Do you sell my information?

No.

We never sell your information.

We never let companies use your information to advertise to you.

Do computers make decisions about me?

No.

We don't use computers to make important decisions about you.

We don't profile children for advertising or marketing.

What about newsletters?

If you (or your parent or carer) sign up for our newsletter, we may know:

• If you opened the email

• If you clicked on a link

We only use this to make our newsletters better.

How do you keep my information safe?

We store your information securely.

Only authorised people can access it.

We work hard to protect your information.

How long do you keep it?

Only for as long as we need it.

When we no longer need your information, we securely delete it.

Your rights

You can ask us to:

• Explain what information we have about you

• Correct anything that is wrong

• Stop sending emails

• Delete your information (where we can)

• Answer any questions you have
